Briefly about the project

Almende College Isala wishes to digitize the registration of flex hours, making registration more efficient and more transparent for both students and employees with the aim of saving time.

The problem

Registering flex hours is a time-consuming process because school employees register on paper which students are present at the start of a flex hour. Subsequently, a physical stamp is put on the agenda of each student if the student has actually participated.

My role

For starters, this is the first project for the Student Research Center (SRC) i have performed. My role was actually the same as that of my colleague Carly Teunissen, namely: interviewer at the introduction, note-taker and / or chairman at the brown paper sessions.

First, we developed a Plan of Action based on the knowledge we have gathered from the exploratory interview with the client, which also included a small preliminary investigation into tools that are currently available on the market.

In addition to the brown paper sessions, i worked on developing infographics for the client, which were a summary of these two sessions.

Finally, at the end of the project, i and my colleagues took on the role of advisor by issuing an Advisory Report. This report contains our advice on digitizing the current flex hours registration.

Brown paper sessions

It is of course very important that everyone has the same picture of what the current (and desired) process looks like. Everyone has a different role and may come into contact with it in a different place. In order to clarify all these differences for all actors, we as SRC invited at least 1 person to actively participate in both sessions of each actor.

For example, the scheduler was there, she is also at the beginning of this process. But also consider a caretaker, teacher or supervisor, mentor, student desk and the student of course.

Now that all these people have gathered for the brown paper session (see image above), we can get started. We start with a round of proposals: who are you, what do you do, where are you in the (current) process and what do you think? This way everyone has an image of everyone. A good start.

Every step of the process is detailed. In this way bottlenecks (or good points) quickly became visible and opportunities arise in the current situation. Because what would your flex hours registration look like in the ideal world? What could help and where can it be used? This all came up in the last session, about the desired situation.

Advice

After having the interview and brown paper sessions, it was time for the advice. For this i have done a lot of research into what options are already available and whether and how they can be used. For example, i and my colleagues from the SRC have made several recommendations, for example about new tools that can be used or tools that are already in use at the school (how these can be used).

The Advisory Report was received with open arms and the client was very satisfied with it. I hope that the Almende College Isala will benefit a lot from the research in the future when using a tool (or something else) for the digitization of the flex hours registration.

What did i learn from this project?

First of all: mapping out the current situation in which many actors are present. You must therefore take into account many different people who fulfill many different roles in this process. In addition to looking for solutions (which are already on the market), this was also quite a challenge because there were quite a few requirements and preconditions.
